A Legal Record
Unlike a standard translation used for general information, a certified translation is a legal instrument. It must be complete, accurate, and accompanied by a formal declaration of accuracy. This is the only format accepted by government bodies like the USCIS.

Certified vs. Notarized: What’s the Difference?
One of the most common questions we receive. The answer depends strictly on who is receiving your document.
Certified Translation
Confirms the quality & accuracy of the translation. Required for USCIS, Universities, and most Legal proceedings.
Notarized Translation
Confirms the identity of the signer. Required for some Courts, Hague Apostille, and DMVs.
*Dialog One offers both. Simply select the Notary add-on during checkout if required.

Our 6-Step Certified Workflow
📁
1. Project Initialization:
Dialog One assigns a project manager to ensure the client’s requirements are met. The project manager’s typical workflow is to review the customer’s translation requirements, check the source document, and assign workload. The project manager observes the creation of the glossary of terms and determines consistency and branding for the entire project.
2. Team Setup & Training:
The assigned project manager appoints a project team leader, prepares a glossary, and provides necessary training. The project manager ensures the project is moving forward as indicated in the scope of work.
3. Editing & QA
Translations are assigned only to native speakers of the target language and have related experience with the subject. Query reports and regular meetings solve translation issues and share product information efficiently. Editors who review the document for accuracy, grammar, spelling, cross-cultural concerns, and writing style are thoroughly reviewed. In addition, 3rd party proofreaders are hired to simulate the experience of the targeted community by checking the text and cultural context. This step ensures a native flow and provides further error-free translation opportunities.
4. Quality Assurance (QA)
A Quality Assurance (QA) process evaluation is executed to randomly determine whether all the translated files meet the project instructions and the internal quality standards.
5. Final Approval & Delivery
The project manager and the translation team meet to sign off on the project. The whole team conducts final reviews of the project, examining linguistic choices, cross-cultural validations, and overall branding choices. The final document is then approved for delivery to the customer using the desired media.
6. Project Wrap-up
Project Summary: The project manager and QA manager evaluate the project quality and performance of the entire team. The translation memory and glossary are kept for future use, and related files are backed up.
Frequently Asked Questions
Does the translation include an official certificate?
Yes. Every single document order includes a signed and notarized “Certificate of Translation Accuracy” on Dialog One letterhead. Because we are an authorized Notary Public for the State of Minnesota, this is included standard with every order.
Do I need to pay extra for Notarization?
No. Unlike many other agencies, Dialog One is an authorized Notary Public. We notarize every single certified translation we issue at no additional cost to you. This ensures your document is accepted by courts, government agencies, and universities without hassle.
Do I need Notarization?
Not always. USCIS generally does NOT require notarization, only certification (which we provide standard). However, some courts or vehicle agencies do requires a notary seal. Please check with your receiving agency. We offer notarization as an add-on service.
How do I send you my document?
